Short answer

What are attendee and exhibitor lists?

Attendee and exhibitor lists differ. Attendee lists name an event's people and companies. Exhibitor lists name companies with stands, plus sponsors and speakers. Conferences call attendees delegates, trade fairs visitors. Name any event. BookYourData builds both, with the right people at each company, direct email and direct dial or mobile number, and attendees where the event published them.

Past editions

Lists for any event you name, past or upcoming edition

For a past edition, BookYourData builds the list of who exhibited, sponsored or spoke, plus attendees where that edition published them. Each exhibitor had a stand at that show, which gives your outreach email its opening line.

With an upcoming edition, you get the companies and people booked to exhibit, sponsor or speak, and BookYourData adds each name as the organiser publishes it on the organiser's own list.

Book meetings before the show with exhibitors, sponsors and speakers, using attendee and exhibitor lists from BookYourData. Then follow up after the show with the people you met and the stands you missed.

An order from BookYourData includes a list of shows or editions, with no duplicates. Mix past with upcoming, or ask for a string of editions from the same show.

On a record from BookYourData, exhibitors and sponsors are companies, each with the right people to contact. Speakers and attendees where the event published them are people. The role on each record tells you whether you are emailing a company or a person.

What a record holds in an attendee or exhibitor list

A record is a person at a company on the event's list, with company details, direct email, and a direct dial or mobile number. Exhibitors and sponsors carry the role on the company. Speakers and attendees the event published carry it on the person.

Built for

Who orders attendee and exhibitor lists

Buyers order attendee and exhibitor lists from BookYourData to book meetings before a show, follow up afterwards and choose where to exhibit next, not chance chats at the stand.

  • Exhibitors before and after a show

Exhibitors use the list to book meetings before the doors open and follow up once the stands come down.

  • Sales teams that skip a show

Sales teams that skip a show order the exhibitor, sponsor and speaker contacts, add attendees where the event published them, and work the whole show from a desk.

  • Marketing teams choosing shows to exhibit at or sponsor

Marketing teams pull a list for each show they are weighing, compare the companies standing there, and commit budget to exhibit or sponsor.

  • Suppliers to exhibitors

Suppliers to exhibitors, whether they build stands, fit displays, print graphics, move freight, sell promotional items or book travel, reach those companies while the stand plans sit on paper.

  • Event organisers and sponsorship sellers

Event organisers and sponsorship sellers see who exhibits and sponsors elsewhere, then pitch them stands and packages for their own show.

  • Agencies running campaigns around client shows

Agencies order a list for each client's show and run the pre-show outreach plus the after-show follow-up as a single project.

  • Teams building partner and reseller networks

Partnership teams mine exhibitor and sponsor names for reseller and alliance candidates, then open talks early.

  • Teams at investment firms buying companies

Acquisition teams map which companies stand at the same shows again and again, pulling the decision makers at each target.

  • Market and competitor research teams

Market and competitor research teams track which shows competitors exhibit at, who sponsors them, and where a market gathers, show by show.

  • Trade magazines and publishers

Trade magazines and publishers sell ads and sponsorships to exhibitors at each show, pitching companies that already spend on stands.

  • Event technology sellers

Event technology sellers use the list to find the organisers and exhibitors, then sell them software for the shows they run.

  • Any group not listed

Any group not listed gets the same service: BookYourData builds attendee and exhibitor lists for any team that names a show, whatever it sells.

An attendee list reaches the audience of the event: the people who came to look, learn and buy. An exhibitor list reaches the companies that pay for a stand. You pick by who you sell to. Selling to the crowd? Ask for attendees. Selling to the vendors? Ask for exhibitors.

We do the build, you do the selling

No tools to learn, no staff to hire. BookYourData's team researches and assembles the records for you.

You name the event

Most vendors sell you whatever they've got. Name any show instead, and we build the list for it.

Your order starts the work

Old stock was built for the whole market. Your list gets put together after your order lands, from what the event published.

The right people at each company

A ready-made file gives you whoever ended up in it. We find the person who holds a title you target, then check them.

Why API providers cannot build your attendee and exhibitor list

Attendee and exhibitor lists aren't lookup jobs. Because an API provider answers lookup after lookup, from a list it already holds, you get the companies it already had, not who exhibits at this edition. Every edition, the exhibitor and sponsor lists change. Old files stay old.

BookYourData builds your list after you order, working from what the edition you named published. Our team adds the right people at each company, with their direct contacts. No recycled names. Your records match that edition.

Delivery options

How your attendee or exhibitor list reaches you

BookYourData delivers your attendee and exhibitor list as a CRM import, a CSV or Excel batch file, or through an API, once or on a recurring refresh you pick.

CRM import and CRM integration

A file in your CRM's import format, or BookYourData loads the records into your CRM for you.

CSV or Excel batch file

A batch file with the records from your build, ready to open in Excel or move into any tool that reads CSV.

API delivery

An API that returns the records when the build finishes, ready for your own systems to collect.

Take the records once, or pick a recurring refresh, quarterly, monthly or weekly, for example ahead of the next edition.

FAQ

Trust, organisers, law, attendance

Is a bought attendee list worth trusting?

Run the checks on us. BookYourData is a named company with public reviews: 500+ reviews across 6 platforms, rated 4.9 out of 5 on the 2 largest review platforms. First comes the free count, and a count of zero is an answer. Then 10 free records, each dated. We don't grade our own attendee and exhibitor lists. You judge.

Is this the organiser's own list?

BookYourData builds your attendee and exhibitor list after you order, from what the event published. The list you get is not the organiser's own list. BookYourData is not connected with any organiser. You name the event, and our team does the build.

Is it legal to email these people?

BookYourData makes no claim about the law. The sender reads its own rules for each country it emails, and the duties sit with you as the sender. Our job stops at the records you ordered. Yours starts at the send.

Did these people really attend the event?

BookYourData includes attendees only where the event published them. No guesswork. Each record carries the edition date of the event and the date we read what the event published. For exhibitors and sponsors, the role sits on the company, and the person is the right person at that company for your titles, not someone the event named.

What you get

What is the difference between an attendee list and an exhibitor list?

BookYourData builds both kinds. An attendee list reaches the audience of the event, the people who walk the show floor. An exhibitor list reaches the companies that pay for a stand. Pick by who you sell to: the visitors, or the firms on the floor.

Do you build the list for a past edition or an upcoming show?

Both. For a past edition, BookYourData builds the exhibitors, sponsors and speakers, plus attendees where that edition published them. For an upcoming edition, you get exhibitors, sponsors and speakers as the organiser publishes them. Who's going to attend? We never sell that.

How big is my show's list, and what about a small show?

No guessing. Before you pay, BookYourData tells you, free, the count of records the event published for the role you want. An empty count is an answer too, so a small show costs you nothing to check. A single order holds a list of shows or editions, and the 15 price tiers start at $499.

What is in each record, companies or people?

People, with the company attached. Each record in an attendee and exhibitor list from BookYourData is a person at a company on the event's list, with the company details, a direct email and a direct dial or mobile number. The 10 free records count the same unit. Company-only lists are built on request.

Freshness, shows and virtual events

How fresh are the records, and do the emails bounce?

BookYourData builds your attendee and exhibitor lists after you order, never before. Bounces appear in any list, which is why each email gets checked on delivery day. Each record carries 2 dates: the edition date of the event, and the date we read what the event published. You see how old every record is.

Does a single order include a list of shows?

Yes. A single order includes a list of shows or editions. Name the shows in your request, and BookYourData builds them together. Duplicates come out before the file reaches you, so the same person doesn't appear again and again in your outreach.

Do you build lists for virtual events and webinars?

Yes. Virtual events and webinars work the same way at BookYourData. You get the speakers and sponsors named by the event, plus attendees where the event published them. A screen instead of a convention hall changes nothing here. What the organiser published decides what lands in your file.

What happens when the event published nothing about who attended?

The free count answers this before you pay. BookYourData tells you, at no cost, the number of records the event published for the role you ask for. When the event published nothing, the count comes back empty, and an empty count is an answer too. You pay nothing for it.

What this is not

Who are attendee and exhibitor lists not for?

BookYourData's attendee and exhibitor lists are not for 3 buyers. Not the buyer who wants the organiser's own sign-up file, or the scans an exhibitor makes at its stand. Not the buyer who wants a calendar of events. Not the buyer exporting the attendees of their own meeting tool.

Does the organiser send your mailing for you?

Some organisers rent or send a mailing through their own channel, to people who signed up for it. BookYourData isn't that channel. The attendee and exhibitor lists you order are built by us, and no organiser mails them on our behalf.

Is the event's free directory enough?

The event's free directory is enough when company names are all you need. A built list from BookYourData adds the right person at each company, with a direct email and a direct dial or mobile number, each record dated, and a list of shows in one file.

What about the scanner an exhibitor rents at its stand?

A scanner an exhibitor rents at its stand records the visitors who stop by. The scans belong to that exhibitor. BookYourData does not sell them, and never puts them in the attendee and exhibitor lists we build.
